EXHIBITOR QUESTIONS/FAQS
Exhibitors at our 2026 State Conference will receive a packet of documents (no later than in April) from the THSADA and our tradeshow host, Shepard, to maximize success in regard to pre-planning before we meet in Round Rock in June. If you have questions as it relates to the tradeshow at our State Conference, it is our goal to meet and exceed your expectations — whatever your company’s level of commitment.
Our popular tradeshow sold out in 2024 and 2025 … expect spaces you may find available today to not be available the next time you return to our tradeshow map.
In addition to the full material provided in the kit, exhibitors will receive the following:
- Electrical order form. This must be ordered/managed through Kalahari Resorts & Conventions.
- AV order form. This is also ordered/managed through Kalahari Resorts & Conventions.
- If you wish to provide food & beverage at your booth, items must be purchased from Kalahari Resorts & Conventions. We will also share a Catering Exhibitor Order Form.
The Kilimanjaro Ballroom at Kalahari Resorts & Conventions, which hosts our tradeshow, is carpeted.
Upon confirmation of tradeshow space, an automated email will be sent back including a link and passcode for our deeply-discounted hotel reservations @ Kalahari Resorts & Conventions.

In addition to other client services, Legacy Event Partners serves as the marketing and sponsorship engine of the THSADA as well as managing its tradeshow at State Conference. This email and contact will be helpful when the tradeshow is sold out. We will start a waiting list and upon your request, will confirm your space on this list and reach out to you if space becomes available.
REFUND POLICY: We understand things happen, other conferences or tradeshows present conflicts and business strategies change. The THSADA thanks you for your partnership and consideration. While we’re unable to offer full refunds after tradeshow space is procured, we’re pleased to apply your payment as a credit toward our 2027 tradeshow at State Conference. Vendors requesting a refund prior to April 1 will be credited 80 percent of their payment for 2027. Vendors requesting a refund prior to May 1 will be credited 50 percent of their payment for 2027. Vendors requesting a refund after May 1 will be credited 25 percent of their payment in 2027, provided a replacement vendor for forfeited space is procured.
